How it works

Set up once (10 minutes)

Fill in your business details in one tab — name, email, bank details, payment terms. Everything else in the kit pulls from this, so you only type it once.

Add clients and create quotes

Log new clients in the directory, then create quotes with line items. Hit "Generate Quote" and the system builds a formatted document from your template, ready to send.

Convert to invoices and track payments

When a quote is accepted, convert it to an invoice with one click. Due dates, amounts, and client details carry over automatically. Mark invoices as paid when the money lands.

Follow up and see the big picture

The follow-up tracker flags overdue invoices and suggests which email template to use. The pipeline dashboard shows your conversion rate, outstanding payments, and revenue at a glance.

Make it yours

This isn't a locked-down app — it's your Google Drive folder. You own every file and can change anything.

  • Template documents — change fonts, colours, layout, add your logo. As long as the {{placeholders}} stay, the automation works.
  • Email wording — rewrite any template to match your tone. Add new ones by adding a heading in the Email Templates doc.
  • File naming — control how generated quotes and invoices are named using any combination of placeholders.
  • Follow-up timing — set your own thresholds for friendly, firm, and final payment reminders.
  • Dropdown options — add new client sources, statuses, or invoice states. The lists auto-expand.

Common questions

Do I need to pay for anything else?

No. The kit runs entirely on Google Sheets, Docs, and Drive — all free with any Google account. There are no subscriptions or add-ons.

Can I change the templates?

Completely. Every document is a regular Google Doc you can edit however you like. Change the fonts, add your logo, rearrange sections. The automation only needs the {{placeholder}} tags to stay in place.

What if I already use an invoicing tool?

If you’re happy with your invoicing but want better follow-up tracking, have a look at the Invoice Chaser Dashboard instead — it’s a lighter tool focused purely on chasing payments.

Is there a learning curve?

The initial setup takes about 10 minutes. There’s a written guide and a Loom walkthrough video included. If you can use a spreadsheet, you can use this.
